Privacy
Your privacy has always been important to us.
We're now required to tell you what information we hold and how we use it. 'We' means Alice Chapman Photography, but it's me, Alice, who is the only person here working with your data.
Customer information (your personal data)
If I've photographed you or your family, or you've been in touch with me to enquire about a photo session, I'll probably be storing some customer information which includes your personal data. This might include your name, address, email address, phone number and names of photo session attendees and their ages (including dates of birth for newborn babies), along with any notes relating to customer referrals or relevant special information you may have provided relating to your photo session. This information will be held securely for up to seven years and be used for administrative reasons and to enable us to carry out our services fully, eg. to plan your photo session, to contact you about your photo session, to come to your address to photograph you, to email your photo gallery link to you, to track your booking and your purchases and to label and keyword your image files. Basically, we use the information you give us in ways that you would expect us to. Customers' names are not published alongside images without prior permission (we might ask your permission to include your names in a blog about your photo session for example) and customers will not be tagged on social media (we've never done this but you're welcome to tag yourselves). Photos that visually show names or other personal information such as house number signs or children's names on clothing or wall stickers are not published without prior permission, or may be digitally altered to remove these elements for portfolio use). Customers' names and any other personal information is removed from the digital metadata of photos before they are published (eg filenames and keywords inside digital photos are changed or removed). Your signature will be stored if you have signed a contract. If you leave a comment on our blog, then the name you enter will be displayed on our website alongside your comment. If you comment on our social media posts then your comment and username will of course be visible publicly. Our website uses cookies but not activity logs. This means that your IP address and individual visitor activity is not recorded when visiting our website.
Online galleries
Because our online galleries are secure and require an email address login, the gallery website will store your email address if you have viewed a gallery and record when you have visited it. If you have paid for something via an online gallery then your postal address will also be stored due to PayPal’s integration requirements. PayPal payment details are not processed within the online gallery itself and are therefore not stored by us. Online orders data is stored securely within the online system. Nursery portrait orders data is kept in paper form for one year.
Email marketing system
If you are a subscriber to our mailing list then your email address and sometimes your name, will be stored on our mailing list system. Mailing list emails are to advertise Alice Chapman Photography’s photography services only. You can unsubscribe by clicking on ‘unsubscribe’ at the bottom of the emailing, or by contacting us.
Data transfer out of the EU
Data may be transferred out of the EU when hosted on our website portfolio, online galleries, in social media posts or in photography organisations’ websites or publications, when stored in our customer management system and mailing list or file transfer system, when processed into photo albums or other print products (although these are physically made in the UK), when payments are made via PayPal, for specialist retouching services and when stored in cloud storage.
Third party systems
Our website is hosted by Squarespace, our online galleries are hosted by ShootProof, our email provider is GSuite (Google), our file transfer provider is WeTransfer, our mailing list system is MailChimp and our cloud backup is Dropbox and CrashPlan. Our usual social media platforms are Facebook and Instagram. Images may also be featured on photography society websites or in their publications (for example if they have won awards).
